A few L&P sites will send weekly hours that will need to be imported, and an invoice will need to be manually sent.
This Import Template (located in Hubspot under Library/Documents/Support)can be used for the following L&P sites.

All Leggett & Platt invoices should be run in the ‘L&P Invoice’ format(in Reports/Custom – L&P), saved as a .pdf document.
The finished invoice should be emailed from the invoicing@simplevms.com account in Outlook.

Steps To Fill Out Import Template:
• Open the template. Select File, then Save A Copy. Save as ‘0118 MMDDYY’ with the date being the Monday for the week(ex. 0118 090924’
• From the received file, copy the Clock #; Paste this into the EMPN column on the template copy. Delete any empty fields in the column.
• From the received file, copy the Name column; Paste this into the LASTNAME column on the template copy.
• With all the names copied in the LASTNAME column, highlight the column. On the Excel menu, select Data, then Text To Columns.
• The Convert Text To Columns Wizard will appear. In Original Data Type, select Delimited. Hit Next.
• On the next page, in the Delimiters section, select only the Comma option. The Date Preview window should now show just the last names in the LASTNAME column, with the first names moved to the FIRSTNAME column. If this is the case, select Finish.
• Back on the received file, copy the Total Hrs and paste them into the REGHRS column on the template.
• Copy the OT Hrs from the received file and paste them into the OTHRS column on the template.
• Ensure that there are no empty fields and that the hours match up with the correct clock ID and name.
• Save your template copy.
• To upload the template, in SimpleVMS, hover the pointer over the profile name in the top-right corner.
• In the menu that appears, hover over SimpleVMS Admin, then Import File.
• On the Import A File page, click the arrow in the Type field.
• Select the option ‘L&P Normal / Talbot [EMPN, REGHRS, OTHRS…]’
• Set the Site field to ‘Iredell Fibers – 0118’
• Select the Choose File button and choose the updated ‘0118 MMDDYY’ template. Click the Open button.
• Once the import process is finished, if there are no issues, the screen will show a message stating 0 errors in green text. If there are any errors with the data, the number of errors will be listed in red and the affected row numbers will be listed. Once the errors are corrected, upload the document again.
• The new invoice will be listed in Invoices in the format: L0118MMDDYYN60
• Check the received file’s column, “Attendance Incentive (mark-up)”. Any amounts here above 0.00 need to have an expense sheet created.

• Check the received file’s column, “Incentive Earnings W/ Markup”. Any worker with entries here need to have an expense sheet created for the amount.
• In SimpleVMS, hover your mouse over the profile name…”SimpleVMS (account)”
• In the menu that appears, click Switch Account.
• In the field labeled, “Search companies”, search for Leggett & Platt or ID# 1036. Select the Switch button for the account.
• Click Active Workers on the homepage, or the Workers tab on the sidebar menu.
• Search the Name field for the first worker on the list with holiday hours. Select the worker to open their profile.
• In the profile, go to the Position section. Select ‘View Time & Expenses For This Worker’. Can also select ‘Add Timesheet’ here, if present.
• On the worker’s Time & Expenses, select the ‘Add Expense’ button in the top-right corner.
• In Add Expense, fill out the Overview section:
o Set the Status drop-down menu to Approved.
o In Invoice, select the same invoice you just created when importing the regular & OT hours.
o Confirm that the correct worker’s name is listed.
o Set the Period Start Date to the previous week(or applicable date). The Period End Date will update accordingly.
• In Items, click the ‘+Add Item’ button. In the Expense Item pop-up window that appears:
o Set the Date. The first day of the selected pay period is acceptable.
o Set the Cost. Add the amount listed in the “Incentive Earnings…” field.
o In Description, enter “Incentive Earnings W/ Markup”.
o Ensure that the Compensation checkbox is selected(blue check is present).
o Click Save.
• Select the green Add Expense button in the bottom-right corner of the screen.
• Continue creating the rest of the worker’s expense sheets.
Once All Expense Sheets Are Created
• Open the Invoices screen
• In the Invoice Number column, click in the search box.
• Enter the invoice number created from the import.
o You can find this, as well, by going to the site column and selecting ‘Tupelo Sleeper – 0341’. The most recent invoice will be at the top of the results.
• Open the invoice.
• In the invoice, select the Items tab.
• Review this list to make sure all the necessary timesheets were created by the import and that all of the expense sheets you created are listed here on the invoice.
• Go back to the Overview tab.
o In the Totals section, click the Recalculate button to update the invoice.
• Hover the mouse over the sidebar menu and click Reports.
• Scroll down to Custom – L&P and select ‘L&P’ Invoice’.
• In the Invoice ID field, find and select the invoice number. Click Submit.
• Click the Export To icon and select the PDF option.
• Open your computer’s download folder and find the pdf you just downloaded. It should be named ‘L&P Invoice.pdf’ by default. Rename this file to match the invoice number.

Steps To Fill Out Import Template:
• Open the template. Select File, then Save A Copy. Save as ‘0369 MMDDYY’ with the date being the Monday for the week(ex. 0369 090924).
• On the received file, the workers are often grouped by vendor. You can delete the blank row(s) and column headers between the groups to make one list of workers.
• On the received file, click the first number in the EMPN field, holding the left mouse button down. Then drag the mouse down to the last name entered in the FIRSTNAME column. This will highlight all entries in the first three columns.
o With these fields highlighted, right-click on the mouse and select Copy.
o On the template copy, click the first blank field in the EMPN column. Right-click on the mouse and select Paste.
• Back on the received file, copy the hours from the Hours Worked column and paste them into the REGHRS column on the template.
o Note: This only applies if there are no Holiday Hours on the spreadsheet.
o If there are Holiday Hours present, you’ll need to manually add the REG HRS and OTHRS together.
• Copy the OTHRS entries(only those other than 0.00) from the received file and paste them into the respective field for the employee in the OTHRS column on the template.
• Check that the hours match up with the correct employee number and name.
• Save your template copy.
Steps To Import Into SimpleVMS:
• To upload the template, in SimpleVMS, hover the mouse pointer over the profile name in the top-right corner.
• In the menu that appears, hover over SimpleVMS Admin, then on Import File on the sub-menu that appears.
• On the Import A File page, click the arrow in the Type field.
• Select the option ‘L&P Normal / Talbot [EMPN, REGHRS, OTHRS…]’.
• Set the Site field to ‘Lakeshore – 0369’.
• Select the Choose File button and choose the updated ‘0369 MMDDYY’ file. Click the Open button.
• Once the import process is finished, if there are no issues, the screen will show a message stating 0 errors in green text. If there are any errors with the data, the number of errors will be listed in red and the affected row numbers will be listed. Once the errors are corrected, upload the document again.
• The new invoice will be listed in Invoices in the format: L0369MMDDYYN60
Steps To Take If Any Holiday Hours Are Listed:
• Check the “Holiday Hours” column on the received file. Any worker with hours here need to have a second timesheet created for the amount.
• In SimpleVMS, hover your mouse over the profile name…”SimpleVMS (account)”
• In the menu that appears, click Switch Account.
• In the field labeled, “Search companies”, search for Leggett & Platt or ID# 1036. Select the Switch button for the account.
• Click Active Workers on the homepage, or the Workers tab on the sidebar menu.

o Add the worker’s respective holiday hours in the Reg field for Sunday.
• In Hourly Bill & Pay Rates, update the Bill Rate to the rate listed for the worker on the emailed file in the Holiday Bill Rate column. Leave the pay rate unchanged.
• In the Notes section, enter ‘Holiday Hours’. Click the Add Note button to save this to the timesheet.
• Click Add Timesheet to save the timesheet.
Once All Time Has Been Added To The Invoice
• Open the Invoices screen
• In the Invoice Number column, click in the search box.
• Enter the invoice number created from the import.
o You can find this, as well, by going to the site column and selecting ‘Mary Ann Industries - 0656’. The most recent invoice will be at the top of the results.
• Open the invoice.
• In the invoice, select the Items tab.
• Review this list to make sure all the necessary timesheets have been created and that all of the expense sheets you created are listed here on the invoice.
• Go back to the Overview tab.

Steps To Manually Add Hours
• The pdf we receive has one worker per page. These are photocopied sheets compiled into a pdf. The hours(and any expenses) will be listed in the timesheet calculation but we usually follow the handwritten numbers(shown in the example).
• In the Leggett & Platt account, open Workers. Search for the worker on the first page.
• Select the Add Timesheet button in the Position section.
o In Add Timesheet, fill out the Overview section:
o Confirm that the worker listed is correct.
o Set the Status drop-down menu to Approved.
o In Invoice, select the invoice you just created.
o Confirm that the correct worker’s name is listed.
o Set the Period Start Date to the previous week(or applicable date).
o Under the dates, in the field for Reg hours on Sunday, add an amount of the worker’s hours(up to 24).
If the worker has more than this, for example, 40 hours, you can enter 24 in the Reg-Sunday field, then 16 in the Reg-Monday field.
Add any OT hours in the OT-Sunday field.
o When hours are complete, select the Add Timesheet.
o Proceed with adding a timesheet for the next worker’s hours.
Steps For Expenses
• On each timesheet, they will note if an attendance bonus should be paid.
• In the bottom-right corner of the page, there is a section, “Perfect Attendance Bonus Eligible”.
o If a bonus is to be paid as an expense, it will be listed in the Total field.
• Click Active Workers on the homepage, or the Workers tab on the sidebar menu.
• Start at the beginning of the list. Select the worker to open their profile.
• In the profile, go to the Position section. Select ‘View Time & Expenses For This Worker’.
• On the worker’s Time & Expenses, select the ‘Add Expense’ button in the top-right corner.
• In Add Expense, fill out the Overview section:
o Set the Status drop-down menu to Approved.
o In Invoice, select the same invoice you just created when importing the regular & OT hours.
o Confirm that the correct worker’s name is listed.

• Otherwise, on the worker’s Time & Expenses, select the ‘Add Expense’ button in the top-right corner.
• In Add Expense, fill out the Overview section:
o Set the Status drop-down menu to Approved.
o In Invoice, select the same invoice you just created when importing the regular & OT hours.
o Confirm that the correct worker’s name is listed.
o Set the Period Start Date to the previous week(or applicable date). The Period End Date will update accordingly.

Steps To Fill Out Import Template:
• Open the template. Select File, then Save A Copy. Save as ‘4201 MMDDYY’ with the date being the Monday for the week(ex. 4201 040725).
• From the received file, copy the entries in the Temp # column. Paste this into the EMPN column on the template copy. Delete any empty fields in the column.
• From the received file, copy the last names in column B; Paste this into the LASTNAME column on the template copy.
• Now copy the names in the Name column(C) and paste these into the FIRSTNAME column on the template.
• Back on the received file, copy the Total Hours and paste them into the REGHRS column on the template.
o Any hours over 40 will be moved to the OT field on the timesheet.
• Ensure that there are no empty fields and that the hours match up with the correct temp ID and name.
• Save your template copy.
Steps To Import Into SimpleVMS:
